**NEW**Terminal Orders: Placing, Tracking & Cancelling Orders

A step-by-step guide for partners on how to submit a new terminal order, track shipments, and cancel an order in the Valpay portal.

Overview

The Terminal Orders tab in the Valpay portal lets you order point-of-sale hardware directly for your merchants. You can submit new orders, monitor fulfilment status, track shipments, and cancel orders that have not yet been shipped.

To access Terminal Orders, select Terminal Orders from the left-hand navigation menu.

At the top of the page you will see a summary of all orders across your account:

  • Total Orders – total number of orders placed

  • Awaiting Shipment – orders that have been placed and are ready to fulfil

  • In Transit – orders currently being shipped

  • Delivered – orders that have been received

  • Total Order Value – combined value of all orders

The order table below shows each order with its Order ID, Partner, Store, date ordered, quantity and value, current status, and available actions.

Use the Filters section to search by Order ID, filter by status, partner, or date range. Click Reset Filters to clear all active filters.

Placing a New Order

Click the + New Order button in the top-right corner of the Terminal Orders page. The order wizard has four steps.

Step 1: Partner & Store

Select the Partner and the Store the terminals should be assigned to. This determines which merchant account the hardware will be linked to. Click Next Step to continue.

Step 2: Select Terminals

Browse the Available Terminals and select the hardware package you need. Each card shows the package name, included items (terminal, eSIM, battery, cables, adapters), and connectivity options.

Click a terminal package to add it to your cart. In the Cart panel, use the + and buttons to adjust quantity. You can add multiple packages to a single order. When your cart is ready, click Checkout to proceed.

Step 3: Shipping

Enter the delivery address for the terminal shipment. All fields marked with an asterisk (*) are required:

  • First Name and Last Name

  • Email address

  • Phone number

  • Street Address, City, State/Province, Postal Code, Country

You can use the Search address field to auto-fill the address. Click Next Step when complete.

Step 4: Review & Place

Review your full order before submitting:

  • Order Summary – items and total cost

  • Partner – the partner account this order is for

  • Assignment Store – the store the terminals will be linked to

  • Delivery Address – the shipping destination

Use the EDIT links next to each section to make changes. When everything looks correct, click Place Order.

A confirmation dialog will appear showing your Order Number and an Estimated Delivery of 3–5 days once shipped. A confirmation email will also be sent to the address provided. Click Return to Orders to go back to the Terminal Orders dashboard.

Tracking an Order

Once an order has been shipped, its status will update to In Transit or Delivered. To view shipment tracking information:

  1. Go to Terminal Orders in the left navigation.

  2. Find the order in the list. Orders that have shipped will show a Track Shipment button in the Actions column.

  3. Click Track Shipment to view the current delivery status and carrier tracking details.

You can also search for a specific order using the Search by Order ID field, or filter by Status to quickly find in-transit shipments.

Cancelling an Order

Orders can only be cancelled while they have a status of Ordered (i.e., before they have been picked up for shipment). Once an order moves to Awaiting Shipment or beyond, it can no longer be cancelled through the portal.

  1. Go to Terminal Orders in the left navigation.

  2. Locate the order you want to cancel. Orders eligible for cancellation will show a Cancel Order button in the Actions column.

  3. Click Cancel Order and confirm the cancellation when prompted.

The order status will update to Cancelled. Cancelled orders remain visible in the order list and can be reviewed by clicking View Details.

If an order has already progressed beyond the Ordered status and needs to be cancelled, please contact Valpay Support.
